COVID-19 Office Procedures

1. Employee Protection

Description of protective measures:

a. Services will be provided by appointment only, no walk-in patients.

b. Signs will be posted on the front door and building window stating that any patient who has a fever or cough must reschedule their appointment

c. Evaluation prior to initiating service: i. At office entry: Patient/companion’s normal temperature (less than 100.4 F) verified with a noncontact thermometer. ii. Ask if the patient/companion has recently experienced any cold/flu symptoms. iii. Ask if the patient/companion has come in contact with another person who has been diagnosed with COVID-19.

d. Limit the number of people in the office to one patient per doctor. A patient may bring one companion under special circumstances (i.e. a minor, assistance for special needs).

e. Any additional people must wait outside the building.

f. All employees will maintain social distancing measures, not contacting the patient outside of clinical necessity.

g. All employees interacting with the public will wear facemasks.

h. Follow CDC guidelines for use of PPE when required.

i. All patients will be required to wear facemasks – Hillmer Eye Clinic will not provide facemasks.

j. Hand sanitizer will be available for patient and staff use.

k. CDC hand washing, office disinfection, and other infection control guidelines will be observed.

 

2. Customer / Patient Protection

Description of Protective Measures:

a. No employee with a fever or cough will provide services to clients.

b. The number of patients in the building will be limited to one patient per doctor.

c. Seating will be placed at least six feet apart and cleaned after use.

d. Employees will wear protective facemasks.

e. All equipment will be sanitized between patients.

f. The office will not provide books, magazines, or any reading material for patients.

g. Office space will be cleaned and disinfected per CDC guidelines.

h. We will encourage the use of telemedicine for vulnerable patients. i

. Measures will be communicated via social media and on the practice website. They will also be posted on the front door for patients to read before entering the practice.

j. Each employee will be tasked with cleaning the area they use.

k. The main door will be cleaned using disinfectant every hour.

l. Employees will sanitize their work are before the start of business and after the close of business each day.

 

3. Communications to employees regarding protocol:

a. Dr. Hillmer will meet with his staff daily and for a formal meeting on Friday, May 1, 2020.

b. All employees will be required to sign a copy of this outline acknowledging they understand and will adhere to the guidelines.

c. No sanitation outside of the normal scope of operations would be required to reopen.

d. Screens are not required at counters. Protective facemasks are required.

e. Doctors, technicians, and opticians will sanitize all equipment, chin rests, chairs, counter tops, computer keyboard and mouse, as well as any other areas of patient contact.

f. One facemask is to be used per day – it does not need to be changed after each patient encounter. Gloves, if used, are to be changed after each patient. It is recommended that all staff wears medical scrubs.

g. The attached log sheets will be utilized to document our cleaning procedures.
